Remote Work Policy

Purpose
This is an outline of SCALEPV remote work policy. We are a hybrid company with
full-time remote employees, full-time and part-time office employees, and hybrid employees who alternate between in-person and remote work on a flexible basis. This policy applies to all employees who have worked at the company for at least six months.

Key Terms
‘Remote work’ is defined as working during an employee’s working hours anywhere outside of our offices, located at 1412 Broadway Ave., New York, NY, or 320 Nevada Street, Newton, MA, United States.

Tools + Support
All hybrid employees who work remotely more than 50% of the time will be granted a monthly stipend for office-related expenses like wireless internet. Employees must submit a request for the stipend to HR. All employees who choose to work remotely must supply their own WiFi to connect to the internet.

Communication
During remote work hours, employees must be available via WhatsApp, Zoom, email, and/or phone.

Employees are responsible for updating the following when working remotely:
• Update shared Calendar with current location and working hours;
• Update away messages and be available to respond within 2 hours;
• Check in with the direct department head at least once a week.

Meetings
All employees, both remote and in-person are required to attend meetings. If the employee is working remotely, they are required to attend via video conferencing. If video conferencing is not available, employees may call in via phone as a secondary option. If an employee is unable to attend a given meeting for reasons remote or otherwise, they must notify their manager, or the person hosting the meeting and schedule a debrief with a meeting attendee within 72 hours.

Approval + Tracking
Employees must notify their manager and team when working remotely by updating their shared Google Calendar.

Remote Work Agreement
Eligible employees are invited to work remotely two out of five days in each workweek. For employees wishing to work remotely full time, this will be approved on an individual basis and can be discussed with your department head.

NOTE: This policy does not apply to contractors and vendors working with or at SCALEPV.
